What is advance exchange for POS hardware and when should retailers use it?

Advance exchange is a service model that replaces failed hardware without waiting on a traditional repair cycle. Instead of sending a device back first, a working replacement is shipped immediately, and the failed unit is returned thereafter.

It’s typically used in environments where downtime isn’t is not acceptable. In grocery and QSR, a single terminal offline during peak hours can create a bottleneck pretty quickly, so waiting on a multi-day repair cycle usually is not practical.

At IW Technologies, advance exchange is supported through pre-configured inventory held at our Elgin facility. Replacement units are staged against customer-specific builds, OS image, application stack, peripheral mappings, so they’re not just generic devices. When a failure is reported, a like-for-like unit is pulled, validated, and shipped same day.

Once it arrives, the goal is minimal setup at the store, swap the device, reconnect peripherals, and get back up and running. The failed unit is then returned through a controlled RMA process for depot-level diagnostics, repair, or refurbishment.

For operators managing large fleets, that combination, pre-configured inventory, fast fulfillment, and structured return flow is what keeps downtime contained without adding extra overhead at the store level.
